Your Privacy is our Concern
At Northwest Farmers Mutual Insurance Company, hereafter referred to as “NWFM”, we recognize that a key element of the insurer/insured relationship is the trust which you place with us to respect the privacy and confidentiality of your person financial information. We are committed to providing you with the highest quality insurance products backed by superior service. In order to provide this service, NWFM collects certain public and non-public information from its policyholders and potential policyholders. While personal information about you is fundamental to our ability to serve you, your privacy is also very important to us. NWFM is therefore committed to keeping that information secure and confidential. So that you may understand how we protect your privacy and safeguard your information, we will provide this notice annually through our continued relationship to describe our current privacy and information practices.
Information We Collect
NWFM obtains most of our information directly from you. The application you complete, as well as any additional information you provide, generally gives us most of the information we need to know. We may also collect personal information about you from any of your other transactions with us, our affiliates, or others. Sometimes we may contact you by phone, mail, or email to obtain additional information.
Depending on the nature of your insurance transaction, we may need additional information about you, or other individuals proposed for coverage. For property coverage’s, we may send someone to inspect your property and verify information about its value and condition. A photo of any property to be insured might be taken. We may review insurance claims information and other loss information reports, and we may also obtain medical or financial information to adjust some claims.
We may obtain the additional information we need from third parties, such as other insurance companies, government agencies, information clearinghouses, courts, and other public records. We may obtain consumer credit information from a consumer reporting agency.
Keeping Your Personal Information Secure
NWFM maintains strict policies and procedures to protect your confidentiality for the information that we collect and store. We utilize a variety of physical, electronic, and procedural safeguards to protect your personal information in our possession and to prevent unauthorized access and anticipated threats or hazards of unwanted disclosure of your personal information in whatever medium it is stored. We also limit employee access to personally identifiable information to those with legitimate business reasons for knowing such information. NWFM also believes in educating its employees so that they will understand the importance of the confidentiality of personal information, and in taking appropriate measures to enforce employee privacy responsibilities. In addition, we do not sell a list of our policyholders, nor do we disclose policy information to marketing companies outside of our company, with the exception of the companies or individuals we may hire to provide specific services for us and who will be under contractual obligation to our privacy policy.
Personal Information that We May Disclose
In the ordinary course of our business, NWFM may, under certain circumstances, disclose information about our current, former, or potential policyholders that we have collected, to third parties. These may be made without prior authorization by you, but always as permitted by law. These disclosures may be to reinsurers, administrators, consultants, mortgages, regulatory or government officials, or by appropriate court orders.
NWFM may also work with third party companies to help us develop our products, services, computer systems, and/or marketing approaches. As permitted by law, we may share with these entitles certain identifying information and non-medical information as is described in this notice. Whenever we hire other non-affiliated parties to help us in our business, we require them to maintain the privacy of your records and personal information, and to abide by all applicable privacy laws. We do not authorize them to further disclose this personal and confidential information.
Access to Your Personal Information Records
You have the right to know what kind of information we keep in our policy records about you, to have reasonable access to it and to receive a copy. Certain types of information generally collected when evaluating claims or possible lawsuits will not be disclosed to you.
If you believe your file contains information which should be corrected, amended, or deleted, notify us in writing of what you believe is incorrect, why you believe it to be incorrect, and what should be corrected or amended. We will consider your request, and either change the information or provide a reason as to why we did not change the information in your file. If we do not make changes, you will have the right to insert in our file a concise statement containing what you believe to be the correct, relevant, or factual information, and explaining why you believe the information on file to be improper. We will notify persons to whom we have previously disclosed the information of the change in information or of your added statement. Subsequent disclosures we make will also include your added statement.
